About the role:

We’re looking for an assistant bookkeeper to join our growing bookkeeping team. Assistant bookkeepers will be assigned clients to manage and become familiar with the intricacies of each client’s books.

Details and accuracy are important. A lot of the work we do here is routine, but assistant bookkeepers need to be perceptive of what’s going on in our client’s books and pick up on things that may seem unusual.

A month in the role:

Week One:

  • Each month starts off strong with our month-end process. During the first week of the month, you’ll find yourself asking clarifying questions to clients, updating the client notes for new information, closing the books and preparing reports and dashboards. We strive to get reports out efficiently, yet accurately, by the fifth of the month.

Week Two:

  • Because there are always a few clients who take a while to respond, you’re closing out the final sets of books. You’re also getting started on the current month’s books. By the 15th of the month, you have everything up-to-date and are aware of any potential issues or action items that we can be proactive about.

Week Three:

  • Things are slowing down, and you’re working on side projects as needed. Clean-ups, client requests, etc.

Week Four:

  • Work is ramping up again for month close, and you’re updating the books by the 28th of the month so that we’re prepared for a smooth month close.

Responsibilities and workload fluctuate with different seasons of the business and will be communicated ahead of time!

Role responsibilities:

  • Keeping clients' books up-to-date — this includes routine bookkeeping tasks such as categorizing bank transactions, recording payroll entries, reconciling accounts, creating journal entries, etc.
  • Maintaining and updating clients' chart of accounts
  • Communicating with clients in a timely manner
  • Pulling bank, credit card and loan statements on a monthly basis
  • Documenting client updates or other relevant client information
  • Preparing client profit reports and dashboards
  • Preparing end-of-year financial statements for tax season
  • Troubleshooting software and bank feed issues
  • Assisting in new client onboarding and clean-up projects as needed

About you:

  • Extremely detailed-oriented, everything about our work is in the details
  • Double checks your work thoroughly before submitting for review
  • Open communicator, you’re willing to provide feedback to the team and can process and implement direct feedback you receive
  • Innovative mindset and enjoys learning new skills
  • Understanding of tax law as it relates to small businesses (Single-member LLCs & S-Corps)
  • Proficient in excel/google sheets
  • Experience with Xero
  • Minimum 1 year of small business bookkeeping experience
  • Available to work between the hours of 9am to 5pm EST
  • Familiarity with Notion and Gusto a plus

This role will begin as a contractor position with the goal of transitioning into a part-time employee role within the first 3-6 months. We are looking for someone who is available starting on March 10th.
