We’re  growing and in need of a  proactive, organized, and highly skilled Operations Assistant to join our team to assist with client projects and various administrative and marketing tasks. The ideal candidate will be adept at managing a variety of digital tools and platforms, assisting with project management,  and assisting with marketing and administrative tasks. This role is perfect for someone who thrives in a dynamic environment and is excited about the potential opportunity for an expanding and evolving role within the business. 


Details


  • Ideal Start Date: March 2025
  • Commitment: 5-10 hours per week initially, starting at $30-35/hr USD with a 30-day trial period


Responsibilities - As needed


  • Formatting and Scheduling Emails and Social Media Content
    • Formatting and scheduling weekly emails in ActiveCampaign 
    • Formatting and scheduling weekly social media posts in Canva and Metricool


  • Automation Setup Assistance:
    • Support in the setup, maintenance, and optimization automations in Airtable and Zapier. 


  • Project Management Support
    • Assist with project check ins and management to keep tasks and projects moving along and make sure nothing slips through the cracks
    • Assist in developing templatized workflows for various processes and developing in various project management tools (ClickUp, Asana)


  • SOP and Process Documentation
    • Develop and document standardized processes


Potential Responsibilities if things go well:


  • Lead Magnet Creation Support:
    • Collaborate on the creation, design, and implementation of lead magnets to attract and capture potential new clients.


  • Social Media Content Development
    • Develop social media content for All in the Ops


  • Copywriting
    • Develop various blog posts and emails for the promotional efforts


  • Regular Meetings: Weekly 30-minute meetings for tasking, planning, and updates.
    • Communication: Slack and email 


Requirements


  • This role requires autonomy and the ability to take initiative in staying on top of projects. 
  • Willingness to problem solve and propose possible solutions when running into roadblocks or issues.
  • Excellent proofreader and pays attention to details. 
  • Professional communication style when reaching out to check in with clients.
  • Has some availability during standard business hours. I too work evenings and weekends but will need some availability during the day for weekly meetings and communication.
  • Ability to respond to communication within 1 business day. 
  • Someone who is eager to learn and grow in their role. This will be the first role I have hired for in the business in 6 years and could definitely grow into an OBM or DOO over time! 


Experience


  • Previous experience working with clients and basic knowledge in utilizing our platforms.
  • Previous project management experience.
  • Basic, demonstrable experience in marketing and administrative tasks.


Moderate to Proficiency  in Tools:


  • Airtable, Zapier, Zoom, Google Suite (Docs, Spreadsheets, Forms, etc.), ClickUp, Asana, ActiveCampaign, Leadpages, Canva, Slack.
